Why accurate information is important
Research Organisation Responsibility
All Research Councils use the Studentship Details functionality within Je-S to gather studentship details funded from training grants. To ensure this data is complete and accurately represents the impact of UKRI studentship funding, all Research Council students should use this functionality to recorded student details within Je-S.
Why accurate information is important
Research Councils are regularly asked by government and other sources about the numbers of PhD studentships supported, the demography of these students and the research areas in which they are working. It is essential that these records are maintained by Research Organisations to enable Research Councils to gain an accurate overview of studentship training, to respond accurately to requests and to inform policy on studentship funding.
Research Organisation Responsibility
In line with the UKRI studentship Terms and Conditions https://www.ukri.org/funding/information-for-award-holders/grant-terms-and-conditions/, Research Organisations should ensure that students and project partners are aware of how information including personal data about their studentship might be used by both the Research Councils and the Research Organisation.
Student details should be submitted by the Research Organisation within one month of the student commencing their studies. Any changes to individual student details should be updated within a month of the change occurring. Once created, each existing student record should, as a minimum, be checked and updated annually.

The information provided by the Research Organisation will be used as part of the Final Expenditure Statement (FES) process
Maintenance of the studentship details is one of the Terms and Conditions for all Research Council funded training grants.
