Background Information

This section allows users to record the details of any project partners associated with the studentship. This may be an informal collaboration or formal sponsorship from a company, charity or other organisation.

Project Partner organisation details should be completed for all non-Research organisations involved in the award. Some research councils require project partners to meet certain eligibility criteria, make minimum financial contributions and offer a placement during the award, therefore it is important that users refer to research councils guidelines to ensure that these terms and criteria are met. The contributions from partners (£ value in cash and/or kind) should be the proposed totals for the duration of the partnership, and not annual figures.

Project partners should be entered in relevant order, with the main collaborators listed first.

Add New Project Partner

Select to search for and select the relevant body.

Use  to select the relevant part of the project partner organisation.

Note: Many project partner organisations will have only one department of "unlisted". In this case, please select this option. If there are departments listed, but the relevant one is not shown then please contact the Je-S Helpdesk (JeSHelp@je-s.ukri.org ) or 01793 444164.

If the Project Partner organisation is not available to select from the search results:

Please follow the below process to add the partner organisation manually to the Studentship Details.

Select the option and complete the pop-up ‘screen’ with the project partner organisation details.

When the mandatory fields have been completed please select the "Save" option at the bottom of the screen to add the details to the Project Partner section of the studentship form.

Funding - Project Partner Contribution

The contribution from non-academic partners (£ value in cash/kind) should be the proposed totals for the duration of the partnership rather than annual figures. Please see the Table below for the research council specific requirements.

This is a numeric value e.g. £2,000 should be input as 2000.

Description of Work (max of 4000 characters including spaces and returns)

Detail the work to be carried out at the project partner organisation, including the nature and frequency of contact. Please also include the dates during which the project partner will be involved in the project e.g. Start and end date of the partner involvement

Add Supervisor

Select the option in instances where the student’s project partner organisation is providing co-supervision. A named supervisor should only be selected if a sponsor has specifically identified a person from their organisation for this role. Please see the Table below for research council specific requirements.


Select Person, and search on their surname and/or initials.

The System will display a list of people who match the search criteria.   If the person is not listed after conducting a search see guidance below

If the person is listed then click on any part of a row to select that person onto the form:

Once a person has been selected, the boxes will populate with the data already stored in Je-S. If they do not have an account then select the Add New Person option and enter their details.

Complete the Supervisor Start Date and End Date details.

Indicate if the Supervisor is the Student’s main supervisor, if not do not check the box:

Select the “Save” option from the top of the screen, which will save the Supervisor’s details to the Je-S form.

If the person is not listed after conducting a search:

If a search does not find identify the Supervisor, then they do not have a Je-S record. In which case the details should be added manually.

Please follow the initial process for searching for the Supervisor’s details:

After the results are returned, please select the   option below the ‘Search’ and ‘Cancel’ options.

Complete the mandatory fields and select the ‘Save’ option at the bottom of the screen.

Complete the Supervisor Start Date and End Date details as detailed in the section when above.

Add Contact

Where a project partner has not identified a supervisor, the Project Partner section of the form may (depending on research council/scheme) require a ‘Contact’ to be added to the partner section of the form.

Select Add Contact (follow the above process for adding a supervisor)

Select the “Save” option from the top of the screen, which will save the text you have added to the Je-S form.

AHRC

For AHRC CDA studentships it is recommended that partner organisations provide £1000, in cash or in kind, per year to each student. 

A project partner supervisor to be added for all its CDA awards.

EPSRC

Note for Industrial CASE and CASE conversion (through the DTP), companies provide additional top up to the project of a minimum of a third of the EPSRC funding. The student must spend at least three months at the company, and the company pays any travel and subsistence costs. 

However, any EPSRC-funded doctoral project may be collaborative and have a project partner recorded (for example this may include where the collaboration does not meet the requirements to be converted to CASE)

 

 

MRC

For MRC Industrial CASE awards, the company is required to provide co-supervision and a placement for the student.

 

NERC

For NERC CASE studentships (both Industrial CASE studentships and NERC Algorithm/Quota/DTP/CDT studentships that are set up as CASE awards), there is a minimum contribution to the student of £1k pa for the duration of the studentship.  NERC also expects the CASE Partner to contribute towards other costs, such as those required by the student to visit the CASE Partner.

 

 

STFC
