Creating a New Student Record

To create a new studentship details document, select New Document in the Je-S Documents menu. Using the Select Council drop down menu, select the appropriate council. Select a Document Type of Studentship Details, and beneath that select the appropriate Scheme. If you are unsure of which scheme to select, then please refer to the ‘Council categories of Student’ details in the helptext below, or the relevant Council’s handbook or guidance.  Users should take care to ensure that the correct studentship scheme is selected as you will only be able to create a new document if a current scheme is selected.  For the majority of student records, you will not need to select a Call/Type/Mode and this drop down box will not be available. Pressing Create Document will take you into the new document.

Within the new document, a range of useful functionality can be found under Document Actions.

Change Scheme allows the user to select a different scheme from that which was originally chosen. This creates a duplicate record rather than overwriting the original record, so the incorrect record should then be deleted. It is also important to note that each scheme has a unique document menu, so changing the scheme may result in one or more of the fields disappearing or appearing.

General Guidance

This guidance aims to outline the categories of student in use by the Research Councils.

AHRC  Categories

Doctoral: This category should be used for the majority of Doctoral students funded through AHRC block funding via such schemes as Doctoral Training Partnerships and Centres for Doctoral Training.

Collaborative Doctoral: This category should be used for Doctoral students funded through AHRC schemes such as Collaborative Doctoral Awards, Collaborative Doctoral Partnerships and for CDA awards under the Doctoral Training Partnerships.

Research Preparation Masters: This category should be used for all Masters students funded by AHRC.

Project Students: Use this category for Doctoral students funded through an AHRC research grant.

BBSRC Categories

BBSRC DTP CASE: This scheme should be used for students on a BBSRC Doctoral Training Partnership (DTP) programme, either where the individual project has been converted to a CASE award or for studentships awarded to DTP partners for use as Industrial CASE studentships (2016 starters onwards).

BBSRC DTP Research: This scheme should be used for the majority of students funded by a BBSRC Doctoral Training Partnership award.

BBSRC Industrial CASE: This scheme should be used for studentships awarded through the former annual BBSRC Industrial CASE competition (last cohort starting in 2015); for 2016 starters onwards these are awarded as supplementary studentships to the DTPs and should be classified as BBSRC DTP CASE.

BBSRC Industrial CASE Partnership: This scheme should be used for studentships awarded through the BBSRC Industrial CASE Partnership (ICP) programme, which provides block funding for key non-academic partners (last cohort starting in 2016); for 2017 starters onwards the BBSRC Collaborative Training Partnerships scheme should be used.

BBSRC Training Grant: This is a non-standard scheme and should only be used for studentships associated with non-DTP and non-ICP programmes, including ZELS studentships and BBSRC-funded Centres for Doctoral Training (CDTs).

BBSRC Collaborative Training Partnerships: This scheme should be used for studentships awarded through the BBSRC Collaborative Training Partnerships (CTP) programme, which provides block funding for key non-academic partners. This scheme should be used for studentships starting from October 2017.

EPSRC Categories

EPSRC Standard Research Studentship (DTP): It is expected that the majority of the students funded through Doctoral Training Partnerships (DTP) will fall under this scheme. It will include projects, with a project partner, but where the collaboration does not meets the requirements for CASE conversions.  Where the collaboration meets the requirements for CASE conversions, please see DTP CASE Conversions.

EPSRC Centre for Doctoral Training Student: The funds for these 4-year research studentships are allocated through Centres for Doctoral Training (CDT) grants. This category should be used for students that meet the harmonised UKRI Terms and Conditions.

EPSRC Incorporated Student: These are students that would be considered a core part of an EPSRC CDT cohort but do not meet the full requirements of the harmonised Terms and Conditions (i.e. receive less than 50% of their funding from EPSRC).

EPSRC Industrial CASE Student:  Where student funding has been placed by a company and is delivered through an Industrial CASE Training Grant. 

EPSRC DTP CASE Conversions: Where the funding for a student is drawn from an EPSRC Doctoral Training Partnership (DTP) and there is collaboration that meets the requirements for conversion to CASE.  

EPSRC Strategic Training Grants: Where the funding for a student is drawn from an EPSRC training grant that is not a CDT, DTP or ICASE grant, then this scheme should be used.

EPSRC International Doctoral Scholars – IDS Grant:  Where a student has been funded through the open eligibility for UKRI studentships, students should be recorded as an EPSRC international doctoral scholar; regardless of where the funding is drawn from. Where a studentship is both CASE and IDS, please record as IDS, with appropriate project partner details.

EPSRC Engineering Doctorate – Research Engineer: (not for new students): Funding is now through Centres for Doctoral Training (CDTs) and new students should be recorded as CDT students.

EPSRC Life Science Interface Student – DTC Grant: (not for new students).

ESRC Categories

Standard Research Studentship (Quota) (New): The majority of ESRC studentships are allocated via an algorithm to Research Organisations that have been accredited to receive ESRC studentships. These students are funded by the RO’s Doctoral Training Grant and the studentship is administered by the University.

This should be selected for all new studentships awarded through a Doctoral Training Centre except for co-funded studentships with non-academic organisations which should be submitted under the ESRC CASE studentship category (see call above).

CASE Studentships (New): CASE awards are intended to encourage and develop collaboration and partnerships between ROs and non-academic organisations.

This should be selected for any outstanding nominations from earlier CASE competitions (i.e. where late nominations or deferrals have previously been agreed) and for all CASE style DTC studentships that have co-funding from non-academic organisations. Please note that any, studentships that are co-funded with another Research Council or another Research Organisation should NOT be submitted under this category but under the Standard Research (Quota) category.

Project Linked Studentships (New): These are studentships that have been awarded as part of a research grant application and the funding for the studentship is provided on the research grant. Studentships can only be hosted in accredited institutions and on accredited training pathways.

MRC Categories

Standard Research Student: These students are funded by the University's Doctoral Training Partnership (DTP) and the studentship is administered by the University. The DTP can be used to fund PhD, Masters (if part of a 1+3 PhD) and Industrial CASE studentships. For studentships converted to CASE, please note ‘CASE’ in the project title field.

Unit Standard Research Student These students are based at MRC establishments. The DTP can be used to fund a PhD, Masters (if part of a 1+3 PhD) and Industrial CASE studentships. For studentships converted to CASE, please note ‘CASE’ in the project title field.

Industrial CASE Student: These studentships involve the joint supervision of the student by an academic institution and a UK industrial firm or an organisation in the public service. Students are based at a University or MRC Unit and spend a minimum period of 3 months during the tenure of the award with the collaborating non-academic partner. They are awarded in competition.

Project Students: Studentships funded through MRC Grants schemes which specifically allow studentships (e.g. MRC Centre grants and MRC Partnership grants).

NERC Categories

MTG Scheme: Funding for Masters studentships on selected Masters courses that were awarded through the Masters Review Competition. NERC does not currently fund any Masters studentships so this category should not be selected.

Doctoral Training: These studentships are awarded through Doctoral Training Partnership (DTP) and Centre for Doctoral Training (CDT) competitions.

Open CASE Studentship: These studentships are awarded through the annual Open CASE competition.

Project Studentship: These are studentships that have been awarded as part of a research grant application (both responsive mode and directed) and the funding for the studentship is provided on the research grant.

Research Studentship (Directed): These are studentships that have been awarded as part of a directed programme (but are not funded through a research grant – see Project student). They may be individual studentships awarded through a studentship competition or studentships funded as part of a large Research/Collaborative Centre bid.

Research Studentship (Algorithm): The majority of NERC studentships are allocated via an algorithm (240 per annum) and not as a result of a competition.  The studentships are based in Universities and NERC Research Centres, and they may or may not have a CASE Partner.

STFC Categories

Quota:  Now called Doctoral Training Partnerships. It is expected that the majority of the students funded through doctoral training grants will fall under this scheme to fund PhD research students.

Industrial CASE:  Provide training for a research student on a project which involves the joint supervision of the student by a member of staff at an academic institution and an employee of a UK industrial firm or an organisation in the public service (the co-operating body).

Industrial CASE Plus: For the first 3.5 years of the award, CASE-Plus operates in the same way as the CASE scheme. An additional year is then spent working full-time at the co-operating body as an employee.

IAC: For students selected by the IAC, Tenerife, Spain to study for an astronomy PhD in Great Britain.

Project Students: Studentships supported through research grants.

Futures Studentships: Studentships supported by Global Challenge grants.

Data Intensive Science: Studentships supported through Centres for Doctoral Training.
